Email Outreach & Anti-Spam Policy
StandardData, Inc. (including ResponseRail)
Last updated: October 12, 2026
StandardData, Inc. operates ResponseRail, a managed proposal service for small and mid-size contractors who bid on public work. As part of how we find customers, we send a small amount of business-to-business (B2B) email. This page explains exactly how that outreach works and how to stop hearing from us.
Who we email
We send low-volume, one-to-one emails to business contacts at companies that bid on public-sector work. We get these contacts from:
- Public bid and procurement records, such as state vendor lists and federal contract award data
- B2B data providers that supply business contact information
We do not email consumers. We do not use consumer lists or purchased consumer data, and we do not harvest email addresses by scraping websites. The only business contact data we use beyond public records comes from B2B data providers.
What every email includes
Every outreach email we send:
- Clearly identifies who it is from (a named person at StandardData / ResponseRail)
- Uses an honest subject line that reflects the content of the message
- Includes our physical mailing address: StandardData, Inc., 14205 N Mo Pac Expy, Ste 570 PMB 422494, Austin, TX 78728-6529, US
- Ends with a simple way to opt out: Reply "not a fit" if we're off mark here
How opting out works
Any reply asking us to stop, including "not a fit," "unsubscribe," "remove," or similar wording, is honored. We add that address to a global suppression list so it will not receive further outreach from any of our mailboxes or sending domains. We process opt-outs within 10 business days, as required by the CAN-SPAM Act, and we aim to do it much faster than that.
How we limit volume
- Short sequences: We send no more than 3 emails to any contact.
- Daily limits: Each sending mailbox has a daily send limit, so volume stays low.
- Bounces: Addresses that bounce are suppressed and not emailed again.
- No tracking: We do not use open tracking or click tracking.
Legal compliance
We comply with the U.S. CAN-SPAM Act. That includes accurate sender and header information, non-deceptive subject lines, a valid physical postal address, a working opt-out, and honoring opt-out requests on time.
Complaints and removal requests
If you received an email from us and want to be removed, reply to that email with "not a fit" or "remove," or contact us directly:
- Email: cos@standarddata.ai
- Mail: StandardData, Inc., 14205 N Mo Pac Expy, Ste 570 PMB 422494, Austin, TX 78728-6529, US
We review every complaint. If you think we contacted you in error, tell us and we will remove you and look into how your address got on our list.
